The ideal holiday gifting calendar starts in August. In real life, most teams start thinking about it when the first holiday ad shows up. If that’s you, you haven’t missed anything yet. You just need to plan in the other direction.
Start with the date, not the gift
Pick the date gifts need to be in hands. For most companies, that’s the week before people leave for the holidays. Then count backward:
| Weeks before in-hands date | What happens |
|---|---|
| 8 to 7 | Share your brief: recipients, per-person budget, delivery details |
| 7 to 6 | Review ideas and quotes, approve your free digital mockup |
| 6 to 2 | Production (most products take 4 to 6 weeks) |
| 2 to 1 | Kitting, packing, and shipping |
If your in-hands date is less than eight weeks away, you’re not out of options. You just have fewer of them, and every decision needs to happen faster.

Four ways to save time
Set a per-person budget, not just a total. It’s the fastest way to narrow product options, and it keeps approvals simple.
Keep decoration simple. A clean one-color imprint or laser engraving moves faster than full-color custom packaging or a made-from-scratch product.
Skip physical samples if you can. Every order includes a free digital mockup. Physical samples cost extra and add time to the schedule.
Decide shipping early. Shipping to one office is faster than individual home addresses. If you need home delivery, collect the addresses now. Chasing them later is where most timelines slip.
Past the line? Go quick-turn.
Some products need very little customization and can turn around faster. Think premium pens and notebooks, or curated snack boxes with a custom label. They won’t be as distinctive as a custom-built gift, but a thoughtful item on time beats a perfect one in January.
Then measure it
Gifting is worth doing again when you can show it worked. Our holiday gift planning playbook covers the metrics to track, a budget template, and a vendor checklist for next year.
